How Sticker Samples Are Shipped: Prototypes, International Courier, and Freight Collect

After sampling is confirmed, the factory usually packs and ships the sample within 2-3 working days. But “how it ships” hides more pitfalls than first-time buyers expect: lost parcels, unexpected duties, or freight-collect refused at delivery.

How prototype samples are usually packed

Foam stickers have thickness and rebound, so a factory will not hard-fold them like flat adhesive sheets. They use a rigid card plus bubble mailer; die-cut shapes get a PET backing sheet to stop curling. What you want is “still presentable on arrival,” not “cheapest to send.”

Which international courier to use

• DHL / FedEx / UPS: 3-5 days, strong customs clearance, the default for samples; price is by first weight, little difference under a few kg
• EMS: cheaper but slow (7-15 days), weak loss compensation, only for non-urgent
• Freight forwarder / consolidated: only worth it above tens of kg, not for sampling

Freight collect or prepaid?

Freight-collect (receiver pays) sounds cheap but: ① some countries reject collect samples, wasting the shipment; ② collect rates run 30%-50% higher than prepaid; ③ duties are separate and not covered by collect. Our advice: the factory covers or nominal-charges the sample, the buyer prepays freight, and duties are settled on arrival.

What if the sample is lost

With DHL/FedEx keep the tracking number; the factory can trace it online. If truly lost, the courier pays by declared value (so do not write “$0” or inflate it). We film the packing video before sending, so there is evidence if disputed.

Tips for working with us

Give the full recipient info and customs details (company name / tax ID / EORI) before ordering, and the sample ships cleanly first time. To judge the real feel, ask for a “full sheet with offcuts” rather than loose singles — it is more representative.
